Making a Theft Protect or Replacement Vehicle Claim



This form can only be used to notify a claim under a Theft Protect or Replacement Vehicle Policy. For any other policies, please refer to the claim instructions on your policy documents. Please answer ALL questions as failure to do so may delay the processing of the claim.

Managing Expectations

1. A claim administration process must be completed before a vehicle is authorised and every claim is different, so we cannot provide a definitive timescale for individual customers regarding the time that it will take to provide the vehicle from the point a claim is submitted. We will however process each claim as quickly as circumstances permit and will keep you advised by e mail of the progress of the application.

2. If approved, a vehicle will be provided for a period that must not exceed the period stated in your policy document. If a vehicle is retained beyond this period it will be at your expense.

3. Once approved, Nice 1 will arrange the hire vehicle and choose the rental company. The policies do not allow for "like-for-like" models in type or size and will only provide standard vehicle rental category groups (e.g. hirers cannot specify vehicle dimensions or specifications).

4. Hirer must meet the age and licensing rules of the hire company Nice 1 choose, and must follow any conditions of hire.

5. Standard vehicle rental conditions require the hirer must provide a credit or debit card as a security deposit. Once authorised, the vehicle will be delivered with a full tank of fuel. Provided the vehicle is returned at the end of the agreed period with a full tank of fuel and no additional damage, the payment card will not be charged.

6. It should be borne in mind that the replacement vehicle policy is not a guaranteed same day service. Whilst every effort will be made to authorise and arrange a vehicle as quickly as possible , all claims have to be validated and vehicle hire is subject to availability of vehicles in the geographical area concerned.

7. For Theft related incidents, a full crime reference number must be obtained. Police forces typically provide a shortened “incident number” which is not acceptable. As the insured victim you are entitled to be supplied a full crime reference number. This will be essential for your insurer to consider a payment in the event your vehicle is not recovered or recovered and written off. Theft victims should not complete this form without a full crime reference number as the application cannot proceed without it.

8. On completion and submission of this form, your application enters our system automatically. Thereafter, all communication of the progress of the application will be by e mail. Following submission of this form, we will need to confirm some additional points with you before the claim will be authorised for a hire vehicle. This must be by e mail to you. The quicker you are able to act upon the points we raise and reply to our e mails, the sooner we will be able to authorise a vehicle.

10. FRAUDULENT CLAIMS : If a claim is made which you, an insured person or anyone acting on your or their behalf, knows is false, fraudulent or exaggerated in any material particular, the insurer will not authorise the claim for a hire vehicle and cover under this insurance will end immediately without any return of premium.

Theft Protect :

  • Taxi's & Motorcycles are excluded from the provision of a replacement vehicle where the vehicle is involved in an incident resulting in it being written off.
  • No vehicle is provided for any class if the insured vehicle is repairable unless undriveable or written off as a result of one of the authorised incident types above.
Replacement Vehicle:
  • Taxi's & Motorcycles are excluded from the provision of a replacement vehicle where the vehicle is involved in an incident resulting in it being written off.
  • No vehicle is provided under any class unless a vehicle cannot be provided under the insurer approved courtesy vehicle program.
  • If Your Vehicle insurance policy is TPFT or TP only then you will not be provided with a replacement vehicle from Us after an incident that leaves Your Vehicle damaged and is deemed repairable.
  • It is your responsibility to instruct their broker or insurer, in the event of a repairable damage RTA to send an e mail to claims@nice-1.co.uk confirming that no replacement vehicle is available to you under any courtesy vehicle program and that the claim cannot proceed unless and until this confirmation is received.
  • In the event of your vehicle being declared beyond economical repair, it will be your responsibility to ensure your broker / insurer sends a confirmation e mail to claims@nice-1.co.uk confirming this is the case. The claim cannot proceed further until this information is received at Nice 1.
Both Policies
  • Replacement vehicles are provided in accordance with the policy wordings in use by the your insurance broker. If in doubt, please refer to the relevant policy wording before submitting your claim.
  • In the event of your vehicle being declared beyond economical repair, it will be your responsibility to ensure your broker / insurer sends a confirmation e mail to claims@nice-1.co.uk confirming this is the case. The claim cannot proceed further until this information is received at Nice 1.
  • No vehicle is provided for any class if the insured vehicle suffers a mechanical breakdown, electrical fault or any other incident that is not included in the policy.
  • No vehicle is provided in the event of an “Act of God” which is an event that directly and exclusively results from the occurrence of natural causes that could not have been prevented by the exercise of foresight or caution; an inevitable accident, including those which have been recognised by the courts including tornadoes, earthquakes, extraordinarily high tides, violent winds, and floods.
  • No vehicle is provided following an incident where the Insured Vehicle is being used under any of the following circumstances:-
    • i. any type of competition or rallies, racing, any type of track day, off road, speed testing, pace-making or reliability trials;
    • ii. as an emergency vehicle;
    • iii. is being driven by any person not holding a valid current licence to drive the Insured Vehicle.
    • iv. in respect of any incident when the driver of the Insured Vehicle is intoxicated by alcohol or under the influence of drugs not prescribed by a registered medical practitioner;
    • v. arising from war, invasion, acts of foreign enemies, hostilities (whether war be declared or not), civil war, rebellion, revolution, insurrection, acts of terrorism, military or usurped power or confiscation or nationalisation or requisition or destruction of or damage to property by or under the order of any government or public or local authority;
    • vi. directly or indirectly caused by or contributed to or arising from ionising radiation, contamination by radioactivity from any nuclear fuel or from any nuclear waste, from the combustion of nuclear fuel or the radioactive toxic explosive or other hazardous properties of any explosive nuclear assembly or nuclear component thereof;
  • Fraudulent claims : If a claim is made which you or an insured person, or anyone acting on your or their behalf, knows is false, fraudulent or exaggerated, the insurer will not pay the claim and cover under this insurance will end without any return of premium.
  • We will refuse to authorise the supply of a hire vehicle if you are currently disqualified from driving; currently have or acquire during the term of this policy:
  • Endorsements commencing UT (Unauthorised taking/theft of motor vehicle)
  • Any endorsements commencing IN10 (Using a vehicle uninsured against third party risks)
  • Endorsements commencing DD/DR in the past five years (Drink/drugs)
  • Endorsements CD40 / CD50 / CD60 / CD70 in the past five years (Causing death by careless driving)
  • Any licence with two or more periods of disqualification
  • Any other conviction with a period of disqualification of 6 months or more in the past five years

Email from insurer confirming?
Where a vehicle is involved in an incident resulting in it to be a likely write off, the policy requires sight of the confirmation email from your insurer before the claim can proceed to arranging a vehicle. As the insured, your insurer will send you an email confirming the write off.

VEHICLE RENTAL ESSENTIAL INFORMATION

Rental companies will not release vehicles without a credit or debit card being provided. This is a standard rental company security measure as they supply the vehicle with a full tank of fuel. Provided the vehicle is returned at the end of the 14 day period with a full tank of fuel and there is no additional damage to the vehicle, the payment card is not charged.

Therefore, to enable us to proceed with your booking, please provide the following information by separate return e mail to claims@nice-1.co.uk :-

Declaration of Motoring Offence Convictions

Our insurer approved rental companies reserve the right to refuse rental of vehicles if you have received an endorsement for dangerous driving, driving whilst drunk or on drugs, theft or unauthorised taking of vehicles or if you have been disqualified for 12 months or more. If any of the following endorsements appear on your driving license then our insurer approved rental companies may be unable to rent you a vehicle: AC, BA, CD, DD, DR, UT and TT (within 5 years of offence). Also two or more periods of disqualification.

Endorsements on licences will be taken from the date of conviction, not from the date of the offence. Please note that a disqualification over 5 years old is acceptable even if it is still showing on your licence. If the our insurer approved rental company is unable to hire a vehicle to you, our policies authorise us to make an agreed payment directly into your bank account that we would make to the hire company. This will be on the condition that you arrange a hire vehicle yourself locally. Should this become necessary, you must follow the process we will explain separately by e-mail.
